Getting started
What is bulk payments upload?
Upload a CSV file of payment instructions and send or schedule them all as a batch — instead of entering each payment one by one. You can use the Venn template or your own file (exported from your bank, accounting software, or AP tool).
Who can use it?
Available on Plus and Pro plans, on web only (not mobile). Any team member with transfer permissions (Owner, Admin, AP Clerk, Employee) can upload a file. Payments are still subject to your business's approval rules.
How many payments can I upload at once?
Up to 300 rows per file. If you have more, split them into multiple files — note that only one bulk payment run can be in progress at a time.
Do I have to use Venn's template?
No. You can upload your own file. If your column headers don't match Venn's, you'll see a mapping screen where you match your columns to Venn's fields — headers we recognize are mapped automatically.
Recipients
Can I add new recipients through the file?
No. This is a payment instruction file only — every recipient (and their payment details) must already exist in Venn before you upload. If you need to add recipients in bulk, use Bulk Recipient Upload first, then upload your payments file.
What if my file contains bank details (account numbers, routing, IBAN, SWIFT codes)?
Venn will not process the bank details as part of the payments. Every recipient (and their payment details) must already exist in Venn before you upload. If you need to add recipients in bulk, use Bulk Recipient Upload first, then upload your payments file.
How does Venn match recipients in my file?
By recipient name, matched against your existing Venn recipients. Capitalization differences are fine. If the match isn't exact (e.g. "Test Co" vs "Test Inc") or the recipient isn't found, the row is flagged for your review — nothing is sent without your confirmation.
File contents
What fields are required?
Each row needs: recipient name, payment method, amount, currency, and reference (the reference appears on both bank statements). Optional fields include account to debit, invoice number, payment date, and confirmation email settings.
Which payment methods are supported?
CAD: EFT, Interac e-Transfer, Canadian wire
USD: ACH, Fedwire (US wire)
EUR: SEPA
GBP: Faster Payments (sort code transfer)
Any currency: SWIFT international wire (currency must be specified)
Common spelling variations are recognized automatically (e.g. "e-Transfer", "eTransfer", "Interac" all work).
Are there any currencies you don't support?
INR (Indian Rupee) payments are not supported in bulk upload. Send INR payments individually.
What amount formats are accepted?
Most common formats work — 154.06, $2,847.72, CAD 500.00, USD 1000. Currency symbols, currency codes, and negatives are ignored. Do not upload zero for amount.
My accounting export has multiple rows per invoice. Will that work?
Yes. If Venn detects multiple rows for the same recipient (e.g. one row per invoice line item), it will group them into a single payment — amounts are summed if they have the same invoice number, same recipient information, and same payment method.
My bank export has extra header rows above the column names. Will it upload?
Remove any extra metadata rows first — your file should have exactly one header row with column names, followed by the payment rows.
Review & submitting
What happens after I upload?
Venn validates every row and shows a review screen with two tabs:
Ready — validated and good to go
Needs review — something needs your attention (recipient not found, missing field, invalid value, ambiguous match, etc.)
Click any flagged row to fix it in a side panel. Flagged rows you don't resolve can be deleted or saved to Drafts to finish later.
What do I see before confirming?
A summary showing which accounts will be debited, the total per currency, total fees, and total transfer amount.
Can I edit or cancel payments after submitting?
No — once you submit, the batch processes even if you close the window or log out. Review the summary screen carefully before confirming. Bulk edit or bulk cancel of submitted payments isn't available.
Do approval rules still apply?
Yes. Payments that trigger your approval rules route to the approval queue instead of sending immediately. The completion summary shows how many were sent, sent for approval, or failed.
Do transfer limits still apply?
Yes. Standard limits apply per payment (e.g. Interac e-Transfers can't exceed $10,000). Rows over a limit are flagged before submission. Anything that fails during the payment process after submitting will be saved to drafts, and an error report will be provided.
How do I know the batch is progressing?
You'll see a persistent banner at the top of the app. You can safely leave the page — click the banner anytime to reopen progress. When done, you get an in-app notification and an email summary.
What happens if a payment fails mid-batch?
Payments execute one by one. If one fails (e.g. insufficient funds), the remaining payments continue. Failed payments move to your Drafts, and in the download-able summary report with the failure reason, so you can fix and retry them.
Scheduling & FX
Can I schedule payments for a future date?
Yes. Add a payment_date (format: YYYY-MM-DD). Blank means send immediately; a future date schedules the payment. A past date is flagged for review.
What if a scheduled payment involves currency conversion?
Scheduled FX payments execute at the live exchange rate on the day they're sent — not the rate shown when you scheduled. You're authorizing the payment amount at the prevailing rate, so the amount debited from your account may be higher or lower than the estimate shown at scheduling. You'll see the actual rate after the payment completes.
Does Venn check my balance before sending?
Venn shows an indicative total per account alongside your available balance at review, and warns you if the estimate exceeds it — but doesn't block submission. FX rates are indicative and fees aren't included in the estimate, so final amounts may differ. If a payment fails for insufficient funds, it moves to Drafts for retry.
What happens to a draft with a payment date that's already passed?
When you release it from Drafts, it's queued to send immediately.
Recipient notifications
Does the recipient get notified?
Yes — recipients receive a confirmation email by default. You can turn this off per row (confirmation_email_send = No) or send the confirmation to a different email address (transfer_confirmation_email).
